Academy of Medical Science Hybrid Workshop

The Academy of Medical Sciences are an expert voice of biomedical research in the UK. They asked us to produce a workshop for the new candidates of their Future Leaders in Innovation, Enterprise and Research programme. This exciting programme is aimed at developing leaders of the future who can create collaborations across academia, industry, the NHS, and government with a common goal of driving innovation.

The workshop was to be delivered with a small group of less than 20 participants, all of which are invited to attend Live but with on-going uncertainty surrounding Covid restrictions, there was a pre-requisite that an unknown number of people could attend virtually via Zoom. Activities at the workshop included: presentations, conversations, table exercises, networking, and keynote speeches.

We had to make sure the activities were engaging for both in-person and virtual attendees – especially for activities that were designed only for in-person attendees. This was made more challenging by the nature of the video conferencing program which the client had chosen for delivery. Without knowing who and how many people would attend virtually, we needed to create a flexible solution that brought all the attendees together.

Covid safe hybrid event

We were able to use a compact control set up, small Pan-Tilt-Zoom cameras and utilise the venue’s own in-built provision to minimise our footprint and number of team members required in the room.

Integrating digital and in-person

Using a physical and virtual break-out room and carefully routing groups of attendees on the day, we ran an activity between in-person and virtual attendees as if they were sat at the table together. The result was an integrated hybrid event where both online and onsite attendees could engage and interact with the activities. One of the online guests even said it was the best online event they’d been to.
