Delivering a Seamless Conference Experience with Bespoke Styling

For a high-profile corporate conference, our team was tasked with delivering a full-scale production inside a luxury ballroom. The brief required not just top-tier AV, but a stylish and practical conference environment that could evolve throughout the day and into the night.

The Setup

At the heart of the stage design were two 2.6mm LED walls, offering ultra-sharp visuals for impactful content delivery. We also installed an 11m-wide printed backdrop, giving the stage a clean and branded finish that tied in with the wider visual identity of the event.

We developed a backstage layout, including a green room, microphone check area, and presenter walk-on/walk-off routes.

Styling & Space Planning

The hotel foyer was transformed with custom wood panelling, introducing warmth to the arrival experience. We built intimate expo and meeting zones using clever furniture placement and ensured all spaces were powered and guest-ready. To complete the look, branded registration desks welcomed attendees with a polished first impression.

Attention to Detail

Themed lighting and branding were used to guide delegates from the foyer through a branded doorway portal, setting the tone for the main event. We also provided printed wayfinding signage throughout the venue and a step-and-repeat photo wall, giving guests a chance to capture branded moments.

Technical Delivery

This event involved a tight build and derig window, requiring precise coordination with other suppliers and the hotel’s operations. Our crew worked quickly and cleanly to meet the timeline – loading in and out around other contractors without disruption.

We also managed AV in multiple breakout rooms, ensuring smooth transitions throughout the day. To finish, we completed a full turnaround of the main space to host a private dinner, giving the client a seamless all-day experience under one roof.
